Guidelines and House Rules

The intention of the following set of guidelines is to ensure a respectful, safe, organised, and productive conference environment by clearly outlining expected behaviours and procedures for all delegates, service teams and guests in the conference.

  • General Guidelines

    • Participate, engage and enjoy the Conference and all its activities, be prayerful always and open to God’s message, love and mercy.

    • Open-up and make new friends, love and respect all your brothers and sisters in the Conference.

    • Most adults you see serving in the Conference (at camp, transportation, hosts) are CFCA volunteers, be polite and thankful of their service and help.

    • Cigarette, alcohol and any illegal drugs is not allowed in the camp.

    • State FM CCs are encouraged to adopt a buddy-buddy system amongst their delegates to easily monitor movements, well-being and safety.

    • Everyone on site needs to have registered and tagged. Day Guests are not allowed in Cabins unless accompanied by an FM CC or adult Service Team.

    • Any concerns please report to your CC, the Conference email or contact any Service Team.

    • Important Contact numbers will be accessible via the Contacts Section of the website for CCs.

  • Transport to, from and in-between the Camp(s)

    • Always wear seat belts during transport.

    • Follow instructions from designated drivers and service teams.

    • Don’t hesitate to report any concerns about vehicle safety immediately.

    • Any concerns please report to your CC, the Conference email or contact any service team.

    • Delegates staying at the other location, North Pine Lodge, due to limitations on transport, please be attentive to announcements about your arrangements on the day.

  • General Camp Movements

    • Be cautious of uneven terrain and poor visibility.

    • Stay within the bounds of the 2 camp sites.

    • Access to the river and swimming pool is prohibited. Marked construction areas are prohibited.

    • Going outside of the designated 2 camp sites for personal errands is highly discouraged due to security and safety and is prohibited without prior advise and permission from a State CC or designated Security/EHS Committee, log in and out where required.

    • At night or dark parts of the day, use flashlights or LED torches, use designated walking routes where possible.

    • Refrain from running, be mindful of trees, pot holes, obstructions and tripping hazards.

  • Registration, Linen and Kit Distribution

    • Follow scheduled registration times to avoid overcrowding.

    • Cooperate with staff and follow crowd management directions.

    • Lift and carry items safely, using ergonomic practices.

  • General Sessions, Talks and Group Discussions

    • Respect the privacy and emotional space of others.

    • Designated facilitators will be available; approach them or your CC for support if needed.

    • Opt-out options are available; do not feel pressured to participate.

  • Prayer and Meditation Sessions

    • Choose a comfortable spot and respect others’ space.

    • Feel free to leave the session if you feel distressed.

    • Support staff are available if you need assistance.

  • Band, Praise and Worship Sessions

    • Use ear protection if needed to prevent hearing damage.

    • Sound and Stage Committee will try to limit the volume of various equipment and instruments to acceptable levels.

    • Take breaks to avoid prolonged exposure to loud sounds.

    • If you feel any discomfort or distress, feel free to sit down away from the crowd, or seek help.

  • Sleep-over and Cabin Rules

    • Stay in your assigned cabins; swapping or sleeping in others' cabins is not permitted.

    • Familiarize yourself with the cabin’s exit routes.

    • Keep personal items in designated safe areas.

    • Provide ample space for general traffic, keep walkways and doors clear of bags or other personal items.

    • Follow instructions from staff in case of emergency.

    • Do not use any candles, open flame and non-compliant equipment in cabins.

  • Food and Dining

    • Check food labels for allergen information.

    • Notify staff if you have any food allergies or dietary restrictions. Ensure your Conference ID has, by marking or sticker, identified your food allergy or restriction.

    • Follow the food safety protocols provided.

    • Sanitise or wash your hands before eating to avoid biological illnesses.

    • Put-away any dishes or utensils as instructed, throw rubbish in designated bins.

  • Creative Performances, Cheers, Praise Parade

    • Follow all safety instructions from staff and facilitators. Do not hesitate to immediately report any hazards like tripping hazards, loose cables, obstructions, etc.

    • Ensure all your props, instruments and gear are securely set up and checked.

    • Rehearse adequately pre-Conference to prevent accidents during performances.

    • Read the Creative Guidelines in advance to avoid arguments or confusion.

    • Respect and love everyone participating; it’s only a friendly competition.

    • First aid will be available; report any injuries immediately.

    • Be humble in defeat and victory, prioritise friendship over competition.

  • Group Games and Sports Competitions

    • Warm up properly and follow all safety guidelines. Do not hesitate to immediately report any hazards like tripping hazards, potholes, obstructions, etc.

    • Engage in activities mindfully and be cautious of unnecessary physical contacts.

    • Follow, adhere to and respect the gameplay rules and decisions of officials, coaches and facilitators.

    • Respect and love everyone participating, it’s only a friendly game.

    • Opt-out or choose non-contact alternatives if uncomfortable.

    • First aid will be available; report any injuries immediately.

    • Be polite and humble in defeat and victory, prioritise friendship over competition.

  • General Arts & Crafts

    • Use tools and materials as instructed and provided by facilitators.

    • Be aware of any potential allergies to materials used.

    • Follow safe handling practices.

  • Campfire

    • Stay within designated fire areas and follow safety instructions.

    • Only designated Service Team or YMCA staff can start or distinguish the Campfire.

    • Keep a safe distance from the fire.

  • Contracting and Spreading Flu, General Medical Conditions

    • Do not hesitate to immediately seek help from your CC or First Aiders if you are feeling unwell, or have any discomfort or pain.

    • Use provided hand sanitizers and masks if feeling unwell with flu symptoms.

    • Optional testing kits will be available.

  • Insect and Snake Bites

    • Stay within the designated bounds of the camp. River is off limits

    • Stay away from secluded, isolated areas where insects and snakes may be.in hiding

    • Use insect repellent and wear long sleeves and pants as required.

    • Immediately report any insect bites and seek first aid.

  • Emergency Evacuation

    • Familiarize yourself with emergency assembly areas.

    • Follow crowd control measures and use clear exits.

    • Follow staff instructions during evacuation procedures.

    • Participate in regular evacuation drills.

  • General First Aid

    • Do not hesitate to approach any First Aider, CC or Service Team if you feel unwell, or have some pain or discomfort.

    • First Aiders will be in green Hi-Viz clothing.

    • A designated First Aid tent is set-up and manned most of the time.

    • Emergency Contact numbers will be available in the Conference Website.

  • Hosting & Billeting

    • Follow the host’s house rules and safety guidelines.

    • Communicate any concerns, hazards or emergencies promptly.

    • Keep emergency contact numbers handy.
